In Sigur, you can work with employees’ files at different levels of automation, including complete automation of maintaining and updating your ACS database from the external source.

USAGE SCENARIOS

Automation of employee data processing will help significantly save time and effort of your workforce as they will not need to manually enter or update any information in the database, which makes your system error-proof.

STRUCTURE OF THE EMPLOYEE DIRECTORY

Cardholders in the system are any employees, visitors, cars and other vehicles with assigned access identifiers. The list has a hierarchical structure with any level of nested depth, which means that you can create any organizational corporate structure in Sigur.

You are able to add and remove employees, create departments and units, limit access for certain checkpoints, assign time zones, etc.

Sigur offers searching options to quickly find any of the employees or vehicles in the list. You will be able to search through your cardholders using standard system parameters or custom parameters created by the users.

Standard search parameters include:

  • Search everywhere (the system will perform a search using all available parameters)
  • Name / vehicle number plate
  • Only last name / first name / patronymic
  • Position / vehicle model
  • ID number (employee’s ID, department ID or vehicle ID)
  • Notes
  • Card number
  • Operator’s name
  • Phone number
  • Active Directory DN
  • Search for cardholders without a photo (the system will search for cardholders who have not been assigned a photo)
  • Search for operators (the system will search for all entities being operators in the system)
The entities found will be shown one by one from the list of found entries. You can also choose to search for and display all employees that match the set criteria at once.

SOURCE OF THE EMPLOYEE DATA

MANUALLY ENTERED DATA

All information can be entered on the keyboard manually. Scanning and recognition of documents, such as passports, can speed up this process. The data from the recognized document will be automatically added to the employees’ files, which is useful not only with your regular staff but also for visitor management. 

This functionality requires a scanner (both household or specialized passport scanners are supported), Extended Support of Guest Badges (Visitor Management) module, Document Recognition module and ABBYY PassportReader SDK license. Sigur is deeply integrated with Regula passport scanners.

IMPORT FROM MS EXCEL SPREADSHEET

You can import standard fields of employee files, such as name, position, department, ID number, as well as additional custom parameters. To import parameters, you will need to create an MS Excel file in a special format as described in Sigur manuals. You can also export employee files from the ACS to MS Excel.

SYNCHRONIZATION WITH A THIRD-PARTY SYSTEM

This option is useful if you have already had an employee database in another corporate system. As a source, Sigur can use any database that can be accessed via ODBC interface, as well as Active Directory or LDAP server.

This integration will allow the user to automatically upload employee's data to the ACS database and update it whenever changes are made.  

EMPLOYEE DATABASE MANAGEMENT

Each cardholder in Sigur has a variety of parameters assigned to them such as name, ID number, access identifiers (one or more), photo, notes, images, badge template, etc.

All parameters are located in different tabs according to their purpose. On every cardholder’s file, you will be able to enter, edit and delete main information, set access rules, add cashing accounts, send notifications, etc. Many parameters can be changed for one or more cardholders simultaneously as a batch task.

Below are some examples of what you can do with different cardholder parameters.

ADDING IDENTIFIERS

To be able to access the facilities, every employee or vehicle must have at least one access identifier assigned to them. In Sigur, you can assign more than one identifier to one entity, which is especially useful when cardholders need to use more than one card within the territory of your site, e.g. to a parking lot, to different departments, to the corporate canteen. This approach will ensure accurate registration of access events for cardholders who use different cards and will help generate accurate and reliable reports.

Identifiers can be assigned:

  • Manually on the keyboard
  • Using a desktop reader
  • Using the reader at the checkpoint

ADDING A PHOTO TO A CARDHOLDER

In Sigur, you can choose from two photo formats to be shown on the cardholder’s file, 3x4 and square.

When added to the ACS database, photos exceeding 1920x1080 pixels will be proportionately compressed by the system.

ADDING CUSTOM DATA

In addition to the standard parameters, you can create your own custom parameters to add additional information. Eight types of parameters are supported:

  • line 
  • list 
  • boolean 
  • time 
  • date 
  • link to a department 
  • link to a cardholder 
  • date and time

You can add any number of custom fields. You can add, edit and delete any fields and select where they will be shown and rearrange the layout of the cardholder’s file.

VEHICLE MANAGEMENT

All vehicles of your company can be either personal or corporate in Sigur. To link a cardholder and a vehicle, the information from the cardholders’ files is used: 

  • Create lists of corporate and personal vehicles with the right to enter the territory of the organization
  • Link cardholders and their personal vehicles (the number of links is unlimited) / Issue waybills for corporate vehicles and store your issue history
  • Record all movements of your employees linked to their vehicles at the same time as their vehicles are recorded in the system
  • Time

If a vehicle linked to a certain cardholder drives through a checkpoint, your operator will see both information on the vehicle (plate number, model, photo, etc.) and on the employee on the monitoring screen.
